 MINUTES OF RICHARDS CABIN ANNUAL FAMILY MEETING 

March 26th, 2023 @ 7:00 p.m.

1900 E. 5150 S., Salt Lake City, UT

Welcome: 

Steve Fotheringham announced sad news that Sue has terminal cancer and is not doing well. He will share her phone number as she does enjoy texts and phone calls.  

Opening Prayer: 

Financial Report: 

  • Dues, donations, assessments received: $ 22,245.00

  • Operations: $14206

  • Staining Cabin: $11000

  • 2022-2023 cost of repairs/purchases/maintenance: $ 25,046.31

  • Net income: $ -2801  

  • Balance of general fund: $6131.20

  • Balance of “Nana’s fund”: $10636

  • Costs are not being covered, proposed raising assessment to $2000.  After reviewing needed repairs, a motion was made to raise the assessment to $2000 and seconded with family members voting to approve the increase for 2023.  

Secretary report:

  • Pines Shareholders Meeting has not been announced yet.  

  • Pines Ranch workdays:  8 am - 12 pm on  Saturdays, June 10, June 17, & August 5; 24 hours required; Poultons this year (Rotation:  Poulton [2023], Landward [2024], Fotheringham [2025],  Lee/Robb Richards [2026])

  • Family workday at Richards Cabin for exterior repairs May 20; Family work week May 17 @ 3 pm to May 24 @ 2 pm. 

Changes

  • Cabin weeks are back to Wednesday check in at 3 pm to Wednesday check out at 2 pm.  

  • Welcome Kathy Morgan as rep for the Poulton Family

  • Nominated and voted Liz Deane in as president.  Thanks extended to Richie Landward for his service.    

  • Nominated and voted Melissa Zelig in as secretary.  Thanks extended to Annie Adams for her service.  

Care & Maintenance of the Cabin:  

  • Cleaning assignments (these can be done during the work week or during a family’s purchased week)

-Kitchen: L. Richards

-Outside: R. Richards

-Basement: Fotheringham

-Main floor/living room/fireplace/hallway closet: Poulton

-Upstairs: Landward

  • Wood supply - much better this year, thank you; please continue to be mindful.

  • Be aware of vacuums, empty canisters and check bags.  

  • Roof heat tape - Turn on Nov 1, turn off May 1.  One of the officers will be responsible to have this done.  

  • Lock box by the Pines entrance Gate.  Code to be set to 0701 (Nana’s birthday) during cabin work week.  Only the gate key is to be stored there and is to be replaced immediately after use.  

  • Repairs approved:  

  • Back steel door and threshold will be replaced.  (Liz Adams’ friend - Alex, will supply the labor) 

  • Mattresses (Kathy Poulton will order the mattresses, Becky Richards will look at the box springs and see if they need to be replaced; Richie and the Poultons will provide trailers to bring up new mattresses and dispose of the old)

  • Staining the back deck (Richie will speak with Jason and purchase everything needed.  This will be done on the cabin work day on May 20).  

  • The vinyl floor on the main floor (including the bathroom) was discussed.  Replacement with plank vinyl was discussed.  Family voted 4/5 to replace the flooring.  What needs to be done will be assessed.  There was not agreement on whether to install the flooring professionally or DIY.  

  • Jenny will purchase the gate key for the lock box.   

  • Repairs placed on hold or awaiting further discussion:   

  • Steve Fotheringham will check with homeowners insurance to see if the policy covers the water damage to the sheetrock upstairs.  We will see if the roof leaks as the snow melts this spring.

  • Replace bedspreads and pillows will be decided on May 20.  

  • Main level TV mount and TV placed on hold.  

  • Swingset placed on hold.  


2022-23 Weekly Pricing / Family Assessment

  • 2023-2024 weekly rates stayed the same:  (A) $375 (B) $325 (C) $275 (D) $225

  • Family assessment for 2023-2024 raised to $2000 per discussion under finances.  

  • Payment deadline for family assessment and chosen weeks: June 1

Choosing weeks 2022-23 Order

  • Landward, Poulton, Lee Richards, Fotheringham, Robb Richards all chose weeks.  Results will be posted at richardscabin.com and on Facebook.
